Odllac Financial Services has a position available. We are looking for someone to fill the vacancy of Office Administrator in the Durbanville area, effective immediately.

Job Description

** – Administrative and other tasks – **

    • Prepare SARS documentation
    • Driving to and from clients to deliver/ retrieve document
    • Drafting client expenses on Excel Spreadsheets
    • WIP (work-in-progress) management
    • Update of various administrative databases
    • Answering of telephone
    • Binding of financial statements
    • Filing and administration of filing systems
    • General office housekeeping in your direct workspace
    • Assisting the partners with ad hoc tasks
    • General ad hoc tasks
    • Ensure that all documentation is kept orderly and safe
    • Ensure that proper control procedures are in place where necessary
    • Ensure that all management reports are submitted timeously (by due date)
    • Ensure that correspondence / communication are documented meticulously
    • Build sustainable relationships with clients and colleagues
    • Communicate appropriately and regularly with colleagues and clients
    • Familiarise / update yourself regularly with the legislation to enable to perform your duties, in your own time
    • Share your knowledge from time to time with colleagues
    • Ensure that you document and update your work schedule / plan regularly to ensure continuity
    • Any other responsibilities as agreed from time to time

 ** – Studies (when applicable) & Continuing Professional Development (CPD) – **

    • Familiarise yourself with the basic legislation / accounting treatment as requested on a continuous basis.
    • Continuous reading, studying, researching of all necessary legislation and changes to the Profession in your own time
    • Familiarise yourself with the software being used: Excel, Word, Outlook, Power Point, Pastel Accounting, Pastel Payroll, Sharepoint, etc.
    • Performance Evaluation: goal setting, measurement, discussion of – and management of your development needs and performance
    • Career Planning and mentoring
    • Ensure you pass your studies every semester (when applicable)
    • Ensure you provide your employer with your semester subjects registered for (when applicable)
    • Ensure you provide your employer with your semester study roster (when applicable)
    • Ensure you submit all your assignments timeously before the deadlines (when applicable)

    • Highly competent in Microsoft Excel, Word and Outlook

    • Good telephone etiquette
    • Own reliable transport and a valid driver’s licence
    • Bilingual with the ability to read and liaise with Afrikaans speaking clients
    • Take the initiative to undertake tasks and not wait to be told
